Introduction
Email Bounce Optimization helps you understand why emails fail, take action when appropriate, and improve overall email deliverability in your CRM.
This feature provides clear visibility into email status, bounce reasons, and suppression handling—so you can make informed decisions before sending.
What Is Email Bounce Optimization?
Email Bounce Optimization enhances how your CRM handles email deliverability by:
- Showing why an email failed (bounced)
- Distinguishing between different types of email issues
- Allowing you to fix or override issues when appropriate
- Giving you more control over suppression lists and sending behavior
Email Status Types
Each email address falls into one of three main categories:
✅ Valid: The email address is verified and safe to send to.
⚠️ Invalid: The email address was flagged during verification and may not be deliverable.
❌ Bounced: An email was sent, but delivery failed.
These statuses help you quickly understand whether it’s safe to send—or if further action is needed.
Understanding Bounce Reasons
When an email bounces, you can see the exact reason why. Hovering over the email status displays a tooltip with details, including one of several bounce types.
Two Key Categories
1. Suppression List Bounce Types
These indicate more serious issues and are automatically added to a suppression list, such as:
- Permanent delivery failure
- Invalid domain
- Address already suppressed
These emails cannot be sent to until the suppression is removed.
2. Non-Suppression Bounce Types
These are typically temporary or situational issues, such as:
- Full mailbox
- Account temporarily unavailable
- Unknown or intermittent issue
In these cases, sending may still be allowed, depending on the scenario.
How Suppression Lists Work
When an email is added to the suppression list:
- It is flagged as high-risk or undeliverable
- Sending is blocked until the issue is resolved
- A warning appears when you attempt to send
This helps protect your email reputation and prevent repeated delivery failures.
Removing an Email from the Suppression List
You can remove suppression directly.
How It Works
- Click “Remove from Suppression List” from the email status tooltip or email composer
- Review the confirmation message
- Confirm the removal
After removal:
- If triggered from the email composer → the suppression is removed and the email will send automatically after a short delay (~10 minutes)
- If triggered from the Lead Detail page → the suppression is removed
Sending Emails with Warnings
In some cases, you may still be able to send emails—with a warning.
Example: “Complained” Status
If a recipient marked a previous email as spam:
- You’ll see a warning before sending
- You can choose “Send Anyway”
- The lead will not be re-subscribed automatically
This gives you flexibility while maintaining compliance awareness.
Best Practice
Before sending emails in bulk or through Smart Plans, quickly review bounce status and suppression warnings to ensure you’re targeting valid, deliverable addresses.
