Introduction
Accessing the Enrollments Tab
- Navigate to Automation → Smart Plans.
- Edit the Smart Plan you want to review.
- Click Enrollments at the top of the page.
The Enrollments tab appears alongside the Builder and Performance tabs.
Enrollment Summary
At the top of the page, you'll find enrollment statistics that provide a quick overview of the Smart Plan's activity:
- Total Enrollments – Total number of leads enrolled in the plan.
- Active Enrollments – Leads currently progressing through the Smart Plan.
- Paused Enrollments – Leads whose enrollment is temporarily paused.
Enrollment List
The enrollment list displays all leads currently associated with the Smart Plan. Available information includes:
- Lead name
- Enrollment status
- Progress through plan steps
- Number of emails sent
- Number of emails skipped
- Number of email replies received
- Number of texts sent
- Number of texts skipped
This view makes it easy to identify where each lead is within the automation sequence and evaluate engagement without opening individual lead profiles.
Manage Individual Enrollments
Each enrollment includes management options that allow you to control a lead's progress through the Smart Plan.
View Log
Select View Log to open the enrollment history for a lead.
The log displays:
- Actions that have executed
- When each step occurred
- Step-by-step enrollment history
This information can help determine why a lead received, skipped, or did not progress through specific Smart Plan actions.
Pause Enrollment
Pausing an enrollment temporarily stops Smart Plan activity for that lead without removing them from the plan. The lead's progress is preserved and can be resumed later.
Resume Enrollment
Resuming an enrollment reactivates Smart Plan processing and allows the lead to continue from their current position in the sequence.
Note: Pausing or resuming an enrollment only affects the selected lead. Other leads enrolled in the same Smart Plan continue running normally.
Export Enrollment Data
You can export the full enrollment list for reporting, auditing, or record keeping purposes.
Export Process
- Open the Enrollments tab.
- Select Export.
- The export is generated automatically.
Once complete:
- The export file is delivered through the Notification Center under Smart Plan notifications.
- An email notification containing the export is also sent to the user who requested it.
Troubleshoot Enrollment Issues
The Troubleshoot Enrollment tool helps identify why a lead did not successfully enroll in a Smart Plan.
Access the Tool
- Open the Smart Plan.
- Go to the Enrollments tab.
- Click Troubleshoot Enrollment.
What You'll See
After searching for a lead, the troubleshooting window displays:
- Enrollment rules for the Smart Plan
- Enrollment attempts
- Error logs
- Detailed failure reasons, sorted by the most recent event first
Common reasons a lead may not enroll include:
- Missing required lead information
- Enrollment criteria not being met
- Conflicting enrollment conditions
- Lead opt-out status
